POLICIES
We are pleased that you are considering The Lodge at Woodward West for your special event. The following information was designed to help you with your planning and to answer some questions that you may have regarding our facilities and services.
|
| FACILITY RENTAL
The Lodge has a variety of function space available for your event. Each room has a specific rental fee associated with it (see "Facilities").
SET-UP FEES
A set-up fee is charged for each event and is based on the number of people scheduled to attend: $225 (100+ people), $175 (75-99 people), $125 (50-74 people), or $100 (fewer than 50 people).
|
|
DEPOSIT/FEES
In order to guarantee availability of the requested banquet room, we must receive a $300 deposit within 7 days of confirmation. We will confirm your space reservation and provide a contract once your deposit is received. We reserve the right to change function space to better service your event. Remainder of estimated balance is due 10 days prior to your event. Any remaining balance is due upon checkout. We must receive a written notification of cancellation (fax acceptable) at least 30 days in advance of your event; functions canceled with less than 30 days' notice will forfeit deposit.
|
|
GUEST COUNT
In order for us to know how much food to prepare, you will need to estimate, as accurately as possible, the number of people you expect to attend your event. Then, by noon 10 days prior to the event, we need a "guaranteed guest count." You will be charged on this guarantee or the actual number of guests served, whichever is greater. We will be prepared to serve 10% higher than your guarantee. Security is mandatory for parties of more than 75 people and the guest will absorb this cost.
|
| FOOD AND BEVERAGES
The Lodge must provide all food and beverages with the exception of the wedding cake. Menu selection is due 14 days prior to the event. If a menu is not committed to 10 days prior to your event, we reserve the right to cancel your event. The Lodge will add a 19% service charge and the current California state sales tax to all food and beverage items (7.25%). We charge a Delayed Service Fee of $50.00 for every half hour that your banquet serving time is delayed beyond its scheduled time. Due to health regulations, no leftover food or beverages may be removed from the lodge with the exception of the wedding cake top.
CAKE-CUTTING FEES
Cake cutting fees are $1.00 per person plus tip. Due to health regulations, no leftover food or beverages may be removed from the Lodge with the exception of the wedding cake top.

BAR
There are two different types of bars that you can provide at your event: Hosted Bar: The person hosting the event pays for all drinks ordered. No Host Bar: Guests pay for their own drinks. Our sales staff can help you determine which method works best for you.
Our Mountain View and Fireside rooms are equipped with a full bar. The Lodge at Woodward West will provide qualified bartenders which will be billed at $25 per bartender per hour with a minimum of four (4) hours per event.
Other rooms can be equipped with one or more portable bars. Each portable bar is $50 for up to 4 hours plus $25 per hour for a bartender (mandatory).

DECORATIONS
You are welcome to bring decorations, centerpieces, and flower arrangements for your event, however you are responsible for clean up. Decorating plans must be coordinated with our banquet manager. Clean up must take place within an hour after your event has ended to avoid incurring a $100 clean-up fee. We do not allow confetti, open-flames, or fireworks at our facilities. The Lodge is not responsible for the delivery, set-up, and take down of audio-visual equipment, floral arrangements, photographic services, entertainment, or decorated cakes that are brought into our facilities. We request that nothing be posted, nailed, taped, screwed, pinned, or otherwise attached to the columns, walls, floors, drapes, or other parts of the building or furniture. You must use painter's masking tape or sticky tac. You are responsible for the repair of any damage resulting from your event. Directional signs to the Lodge are subject to local regulations and not the responsibility of the Lodge.

TABLES
Round and/or rectangle tables will be used for your event. We will use white tablecloths and napkins for your tables. If you would like different colors, you may rent them.

Bands, DJs, or karaoke systems are welcome in our facilities. There is a 10:00 P.M. noise ordinance in Stallion Springs, therefore outdoor music must be moved indoors by that time. There is a 12:00 midnight curfew at the Lodge.
